Office Coordinator

The Oakland Interfaith Gospel Choir is seeking an Office Coordinator who has a love for music and the arts. We are seeking an organized and driven individual to join our team. The Office Coordinator role is responsible for general administration and organization of the office and is supervised by the Operations Director.


Office Coordinator responsibilities include but are not limited to:

Office and Choir Administration (70%)

  • Coordinate standard office duties, including answering phones, responding to inquiries, filing and photocopying

  • Copywriting and editing for email blasts, website, and general correspondence

  • Maintain office supply and merchandise inventory

  • Maintain FileMaker Pro and MailChimp databases

  • Fulfill and ship online merchandise sales

  • Process dues and administrative fees

  • Process choir member requests and respond to audition inquiries

Social Media and PR (10%)

  • Assist with public relations

  • Assist in creating content for social media feeds for three choirs, including Facebook, Twitter, Instagram

Development Assistance and Donor Relations (10%)

  • Record donations and generate donor correspondence letters in support of donor relations

  • Assist with grant proposal preparation and reporting

Event Support (10%)

  • Assist with and attend OIGC produced events

  • Process ticket orders for self-produced events

  • Coordinate and attend annual choir auditions

Our ideal candidate is:

  • A self-starter that is organized, energized by details, and enjoys completing the smallest tasks with accuracy and efficiency

  • Knows their way around PCs and Macs and can navigate basic computer systems, including proficiency in MS Office, Google Drive, CRM systems. Bonus for experience in QuickBooks and FileMaker.

  • Is comfortable communicating with a wide range of people and personalities via email, phone, and web communication

  • Can work independently and efficiently while in a collaborative office environment


Desired Skills and Experience:

  • 2+ years of administrative or office coordination experience

  • Strong attention to detail

  • Excellent verbal and written communication skills

  • Ability to communicate with a wide variety of personalities

  • Ability to lift at least 20 lbs.

  • Flexibility for occasional weekend work to support OIGC performances onsite

  • Experience in nonprofit and/or nonprofit arts administration
